Marukan Vinegar (USA) - Plant Administrative Assistant

The Plant Administrative Assistant is responsible for supporting the general operations of the factory, performing administrative and clerical duties, and keeping inventory of general supplies. The Plant Administrative Assistant is also responsible for logistics management duties including preparing purchase orders and invoices and assisting Assistant Plant Manager on keeping track of receiving documents and raw materials and inventory control.

ESSENTIAL FUNCTIONS

  • Answer and direct phone calls in a warm and upbeat manner.
  • Maintain positive attitude towards work and fellow employees.
  • Perform general customer service and front desk functions including handling customer inquiries and guiding visitors.
  • Maintain and organize all office supplies in supply room.
  • Keep the conference room organized and update schedules for conference room use.
  • Perform clerical duties including use of e-mail, word processing, and excel spreadsheets.
  • Perform various office duties such as typing, maintaining various files, mail processing, responding to emails, making travel arrangements if necessary, and other miscellaneous duties or special projects as assigned.
  • Prepare and place purchase orders for procurement of products (materials, parts), services, and office supplies.
  • Perform inventory control of office supplies and assist in determining inventory levels of materials in the factory.
  • Keep track of delivery schedules and verify receiving documents and items.
  • Support plant’s accounts payable and receivables. (Collate PO, order confirmation, packing list, and invoice to prepare for payment. Process invoices for payment)
  • Prepare invoices by verifying that all material shipped is accurately recorded and calculated.
  • Check orders for special freight charges, customer requests, order changes, and tax exemptions.
  • Correlate bills with packing list, checking for duplications or shortages of quantities shipped against original order.
  • Maintain hourly personnel files, EEO and OSHA report files in an up-to-date manner.
  • Maintain a clean and orderly employee meal/break room and replenish kitchen supplies.
